1. Registration
Every pupil attending Harriett David’s Academy of Dance must have a completed online registration form.
The registration form forms part of the agreement between Harriett David’s Academy of Dance and the pupil’s parent or guardian.
Parents and guardians must notify the school as soon as possible of any changes to a pupil’s circumstances or contact information, including:

▪️ Email address
▪️ Medical information
▪️ Emergency contact details
It is the responsibility of the parent or guardian to ensure that all information held by the school remains accurate and up to date.
2. Acceptance of Registration
Students must be registered and the required payment arrangements must be in place before attending their first class.
Registrations are accepted throughout the academic year, subject to availability. Places are offered on a first-come, first-served basis.
A pupil’s place is not confirmed until registration has been completed and the required Direct Debit instruction and initial payment have been arranged.
3. Fees and Monthly Payments
Class fees are calculated using the number and length of classes attended by each pupil during the academic year.
Annual class fees are divided into 12 equal monthly payments to make payments smaller, consistent and easier to manage.
Payments will run from 1 September to 31 August each academic year. Payments will continue during school holidays because the total annual cost of tuition is being spread evenly across 12 months.
All 12 monthly payments are required to settle the full annual account. Monthly payments do not represent the number of classes delivered within a particular calendar month.
4. Initial Payment and Deposit
The initial payment will be equal to two monthly payments.
One payment will cover the first month of tuition. The second payment will be held as a deposit, meaning the account remains one month in advance.
Subject to the account being fully up to date and the correct notice having been provided, the deposit will be applied to the pupil’s final monthly payment when they leave the school.
The deposit is not an additional tuition fee. However, it may be retained or used against outstanding fees where the required notice has not been given or money remains owing on the account.
5. Changes to Classes
Parents and guardians must notify the school before a pupil adds, changes or stops a class.
Where a pupil adds or changes classes, the annual fee and monthly payment will be recalculated. Any difference already accrued may be added to, or deducted from, a future payment.
No class change is confirmed until it has been agreed by Harriett David’s Academy of Dance.
6. Notice and Withdrawal
Registration is accepted on the understanding that the pupil intends to continue attending throughout the academic year.
A minimum of four weeks’ written notice is required to stop any class or withdraw completely from the school.
Notice must be sent by email or through another written method approved by the school. Notice will begin from the date it is received and acknowledged by Harriett David’s Academy of Dance. Fees remain payable throughout the four-week notice period, whether or not the pupil attends.
Stopping or cancelling a Direct Debit does not constitute notice of withdrawal and does not cancel any outstanding payment obligation.
7. Missed and Failed Payments
Parents and guardians must contact the school promptly if they experience difficulty making a payment.
If a Direct Debit payment fails, the school or its payment provider may attempt to collect the payment again.
A pupil may be temporarily unable to attend classes where fees remain unpaid. If payment continues to remain outstanding, the pupil’s place may be withdrawn and offered to someone on the waiting list.
The parent or guardian remains responsible for any outstanding fees, including fees due during the required notice period.
Any reasonable charges incurred by the school as a direct result of failed, cancelled or reversed payments may be added to the account where permitted.
8. Pupil Absence
Fees remain payable when a pupil is absent from class due to illness, holidays, school events or personal commitments.
9. Classes Cancelled by the School
In the event of extreme weather, venue closure, teacher illness, an emergency or another circumstance affecting the safe delivery of a class, parents and guardians will be notified as soon as reasonably possible via email.
The school is not responsible for cancellations or disruption caused by circumstances outside its reasonable control, but it will make reasonable efforts to provide an appropriate alternative.
10. General Studio Rules
Pupils must wear the correct uniform for their class.
Long hair must be tied back securely, and jewellery must not be worn where it could present a safety risk.
Pupils should not bring valuables or unnecessary belongings to class. Harriett David’s Academy of Dance cannot accept responsibility for items that are lost, damaged or stolen, except where liability cannot legally be excluded.
Pupils must follow the reasonable instructions of teachers and staff at all times.
11. Code of Conduct
Harriett David’s Academy of Dance aims to provide a safe, supportive and nurturing environment in which pupils can learn and develop.
Bullying, harassment, abusive behaviour, intimidation or disrespectful conduct will not be tolerated. This applies to pupils, parents and guardians and includes behaviour:

▪️ At classes, events and performances
▪️ In written communications
▪️ On social media or online platforms
Parents, guardians and pupils are expected to treat teachers, staff, volunteers and other families respectfully.
Breaches of the code of conduct may result in a pupil being suspended or refused further tuition.
12. Medical Information and Safety
Parents and guardians must provide the school with relevant medical information, allergies, injuries, additional needs or other circumstances that could affect the pupil’s safe participation.
The school must be notified promptly of any changes.
Teachers may adapt or restrict a pupil’s participation where reasonably necessary for their safety or the safety of others.
In an emergency, the school will take reasonable steps to contact the pupil’s parent, guardian or emergency contact. Where urgent medical assistance is considered necessary, the school may contact the emergency services.
13. Photography and Communications
Any permissions relating to photography, filming, promotional material and communication will be recorded through the registration process.
Parents and guardians must inform the school if they wish to change a previously provided consent.
14. Changes to These Terms
Harriett David’s Academy of Dance may update these terms where reasonably necessary, including where there are changes to fees, payment providers, class arrangements, legal requirements or the operation of the school.
15. Acceptance
By completing the registration process, setting up the Direct Debit and allowing the pupil to attend classes, the parent or guardian confirms that they have read, understood and agreed to these terms and conditions.
